Checking passport validity and eligibility for a China business visa

1. Requirements Are Not the Same as Documents

The document list, which the documents checklist sets out, is what you hand over at the counter. The requirements are what those documents must prove: that you are who the passport says, that you have a real commercial reason to go, that a real Chinese party expects you, that you and your company can afford the trip, and that you will return. A complete file for a weak case is still refused. Run through the checklist below first.

2. Passport Conditions

  • An ordinary Indian passport (diplomatic and official passports follow other rules).
  • At least six months' validity remaining from the date of travel, and at least two blank visa pages facing each other.
  • Undamaged: no torn or detached pages, no lamination damage on the data page.
  • Your name on the passport is the name on every other document. If your name changed (marriage, affidavit), the passport must already show the new name or the change must be documented.
  • Old passports with previous Chinese visas available, in support.

3. An Accepted Business Purpose

The M visa is for commercial and trade activities: buying and selling, supplier meetings, factory visits and audits, trade fair attendance as a buyer, contract negotiation, after-sales and technical visits connected to a trade relationship. It is not for employment in China, paid work for a Chinese company, study, tourism, or non-commercial exchange visits; the M versus F article covers that boundary. The purpose stated on the COVA form, the invitation and the cover letter must be the same purpose, in specific terms: "visiting Foshan Dingxin Ceramics to inspect production and finalise an order" rather than "business".

4. A Genuine Inviter

A registered Chinese company or a recognised fair organiser that can be verified and contacted. The inviter's name, address and telephone on the letter should correspond to a company that exists in China's enterprise register, and the signatory should be reachable. Letters from agents, from individuals, or from companies whose business has nothing to do with yours are weak. First-time applicants with new suppliers benefit from attaching correspondence, quotations or a proforma invoice that show the relationship is real. The invitation letter article covers what the letter must contain.

5. Financial and Company Standing

  • The company exists and trades: registration (incorporation, GST or Udyam) in the name used on the letters, and bank statements showing operating activity over the recent months.
  • The applicant can support the trip: personal statements with a steady balance; a large deposit the week before the statement is the classic weakness.
  • The applicant has a position: a director, partner, proprietor or employee with a role that explains the trip, as the article on company sponsorship describes.
  • New businesses can qualify, but should expect closer reading: attach the IEC, GST returns if any, and evidence of the trade being set up.

6. Residence and Jurisdiction

You apply at the centre for the jurisdiction where you live: New Delhi, Mumbai or Kolkata, each covering a list of states published by the centre. The passport address decides this unless you prove residence elsewhere with an Aadhaar card, a utility bill or a registered rent agreement in your name. A file lodged at the wrong centre is returned. Non-Indian nationals resident in India apply with their residence permit and may face additional requirements.

7. Travel History, Refusals and Declarations

Previous Chinese visas used properly are the strongest support an applicant can have, and the basis for multiple entries, as the multiple-entry article explains. Previous refusals by China or by other countries must be declared on the COVA form where asked; an undeclared refusal that comes to light is treated more seriously than the refusal itself. Overstays anywhere, and any criminal record, must also be declared. The form asks about these directly; answer accurately and explain in the cover letter if there is something to explain.

8. Cases That Are Refused or Returned

  • A purpose that does not fit M (work, study, tourism described as business).
  • An inviter that cannot be verified, or a letter that does not name the applicant correctly.
  • Inconsistent facts across the passport, form, invitation and cover letter.
  • Financial statements that do not show the means stated, or that show a single large deposit.
  • An undeclared previous refusal or overstay.
  • Documents that are expired, unsigned, unstamped or in the wrong format (the 35 by 45 mm photograph is the usual one).
  • Applying at the wrong centre without proof of residence.

If any line above describes your case, fix it before applying; a refusal stays on the record. The China business visa guide covers the categories and process, and our China business visa assistance begins with an honest reading of the case before any form is filled.

Common Inquiries

Frequently Asked Questions

Can a new company's director get a China business visa?

Yes, if the company is registered, has a bank account with activity, and the inviter and purpose are genuine. Attach evidence that the trade is being set up; expect the file to be read closely.

Does a previous visa refusal from another country matter?

It must be declared on the form where asked. A declared refusal with an explanation is a weakness; an undeclared one discovered later is treated as misrepresentation.

What passport validity is needed?

At least six months from the date of travel and two blank facing visa pages, with no damage to the data page.

Can I apply in Mumbai if my passport address is in Delhi?

Only with proof of residence in the Mumbai centre's jurisdiction, such as an Aadhaar card, a utility bill or a registered rent agreement. Otherwise the file belongs to New Delhi.
