First-time Indian buyers walking the Canton Fair halls in Guangzhou

1. Before You Travel: Mistakes Made in India

This guide is written by our Canton Fair team in Karol Bagh, Delhi, from the fair's own notices, the Ministry of Commerce of China's introduction to the 140th session and the Chinese embassy's visa rules, listed at the end. The most expensive mistakes happen before the flight.

Mistake 1: going in the wrong phase. The fair is not one event but three, each with different sectors. For the 140th session: Phase 1, 15–19 October 2026 (machinery, hardware, tools, lighting and electrical, electronics and appliances, new energy vehicles, industrial automation, new energy); Phase 2, 23–27 October (building and furniture, housewares, gifts and decorations); Phase 3, 31 October–4 November (health and recreation, toys, baby and maternity, fashion). There is no exhibition on 20–22 October or 28–30 October. A toy buyer in Phase 1 has flown to the wrong fair. The phases and products guide has the detail.

Mistake 2: starting the visa too late. Indians need a China business (M) visa: India is not on China's visa-free list or its 240-hour transit list. A China business visa takes about 3–5 weeks from filing to visa in hand, so apply as early as you can. If your chosen phase is close, message us on WhatsApp and we will tell you honestly whether your timeline can still work. The Canton Fair visa guide explains the invitation and documents.

Mistake 3: falling for a product India will not let in. Many electronics, toys and household goods need BIS certification, held by the Chinese factory for your model. Check the BIS list for your products before you travel, and ask at every booth; the products guide lists the rules by phase.

Mistake 4: no landed-cost numbers. Arrive knowing the HSN code, the duty rate and what you can sell at, so you can judge a booth price on the spot. The landed cost calculator works on a phone.

2. Registration and Badge Mistakes

Mistake 5: paying someone for a badge. According to the Ministry of Commerce of China, new overseas buyers pre-register on the fair's official site and apply for badges free of charge. Notices to buyers have stated that applying for, replacing or renewing a buyer badge is free, and that the fair has never authorised any third party to provide badge services. Pre-register through the official buyer system or the Canton Fair app; the registration guide walks through it.

Mistake 6: errors in the invitation request. The buyer system can generate the invitation letter you need for the visa at the same time as the badge application. The fair warns that the number of invitation applications is limited, so enter your details exactly as in your passport the first time. If the letter will not download, see the invitation troubleshooting guide.

Mistake 7: sharing a badge. The rule is one person, one badge per session. Lending, reselling, altering or using someone else's badge is prohibited. Each member of your group registers separately, and collects the badge in person with the original passport. Assistants and interpreters with Chinese ID follow a separate procedure: only the buyer can apply for them, at least two days before attending, and the fair charges a daily fee for their badges.

3. Mistakes at the Fair

Mistake 8: treating the booth price as final. A booth quote is an opening position, usually FOB a Chinese port, for a stated quantity. Note the Incoterm, the quantity and the validity next to every price; the FOB vs EXW guide explains why it matters.

Mistake 9: paying a deposit at the booth. Collect quotations, catalogues and business cards; do not pay. Payment comes after you have verified the company, tested samples and agreed a contract. A real exhibitor will still be there after the fair. Our scam red flags guide lists what to check.

Mistake 10: not recording who you met. After two days every booth blurs. Photograph each business card with the product and the booth number, and write the price, quantity and Incoterm on the back.

4. Practical Mistakes in Guangzhou

Mistake 11: arriving without a way to pay or move. Set up Alipay or WeChat Pay before you fly: foreign visitors can link international Visa or Mastercard cards to both. Carry some cash as well. The fair complex is at Pazhou, served by Guangzhou Metro Line 8 (Pazhou and Xingangdong stations) and Line 11; travel light, as large bags and items such as knives and drones are not allowed in. The hotels guide explains where to stay, and the first-time guide covers the days in order.

5. Mistakes After the Fair

Mistake 12: no follow-up plan. The value of the fair is in the two weeks after it. Email every shortlisted supplier within days, with your specification and quantity; ask for samples; verify the company on China's official registry and, for larger orders, visit the factory. Buyers who wait a month find the quotations expired and the suppliers busy with other buyers. Our factory verification and product sourcing services run this follow-up for you.

6. A Short Checklist

  1. Phase chosen from your product list, with the halls to cover.
  2. Visa started as early as you can (allow about 3–5 weeks), with the invitation from the official buyer system.
  3. Pre-registered for a free badge; passport ready to collect it.
  4. BIS and duty position checked for each product line.
  5. Landed-cost figures and target prices on your phone.
  6. Alipay or WeChat Pay set up; some cash; metro route to Pazhou.
  7. A follow-up plan with dates for samples, verification and the order.

Common Inquiries

Frequently Asked Questions

What is the biggest mistake first-time Indian buyers make at the Canton Fair?

Going in the wrong phase. Each of the three phases shows different sectors, so a buyer of toys or garments gains nothing from Phase 1. Choose the phase from your product list first.

Do I have to pay for a Canton Fair badge?

No. New overseas buyers pre-register on the official site and apply for badges free of charge, and the fair has said it has never authorised third parties to provide badge services.

How early should I apply for the China visa for the Canton Fair?

As early as you can: a China business visa takes about 3–5 weeks from filing to visa in hand. If your phase is close, message us and we will tell you honestly whether the timeline can still work.

Can I pay a supplier at the Canton Fair?

You can, but you should not. Collect quotations at the booth, then verify the company, test samples and agree a contract before paying anything.
