Yiwu Sourcing Agent: What One Does, What It Costs and When You Need One
What a Yiwu sourcing agent does during and after the market visit, the fee models agents use, how to judge one, and when an Indian buyer can manage without.

1. Why Yiwu Runs on Agents
The Yiwu International Trade City is five districts of wholesale showrooms, each stall run by a small trading family or a factory's sales office, selling by the carton with low minimums. A buyer from India can walk it, point, and agree a price in a morning. The difficulty comes afterwards: forty stalls, forty deliveries on different days, deposits paid in cash or by Chinese mobile payment, quality that must be checked before cartons are sealed, and an export declaration that covers goods from all forty. Stall owners speak little English and sell to agents every day; the agent is the person they know will chase the order, so the agent's goods arrive on time. That is why even experienced buyers work through one.
2. What a Yiwu Agent Does
- Before the trip: understands your product list and target prices, suggests which districts and floors to cover, books the hotel and the car, and in some cases collects samples in advance.
- In the market: translates and negotiates, records every order (stall number, item, quantity, price, delivery date) in one list, pays deposits on your behalf through local payment apps that foreign cards cannot use, and photographs the samples agreed.
- After you leave: follows up with each stall, receives the cartons at a warehouse, counts and inspects against the order, rejects or returns what is wrong, and produces one packing list that reconciles to the invoices.
- Shipping: books the LCL space or the container, arranges the export declaration under the market procurement arrangement and hands the shipment to the forwarder, as the Yiwu to India shipping article describes.
- Payments: collects your balance and settles the stalls, keeping the record that your accountant and your customs broker will both need.
3. How Agents Charge
Four models are common, and many agents combine two of them. Ask for the schedule in writing before the trip and insist on receipts for every stall payment.
| Model | How it works | Suits | Watch for |
|---|---|---|---|
| Commission on order value | A percentage of the total purchase, usually a few percent, falling for larger orders | Mixed orders of many small items | Hidden margins on the stall price in addition to the commission; ask to see the stall's own quotation |
| Daily escort fee | A fixed fee per market day for the guide, translation and car | Buyers who manage the follow-up themselves | Follow-up and warehouse work charged separately |
| Consolidation fee per cubic metre | Receiving, checking, repacking and loading charged on the shipped volume | Buyers with their own forwarder | Minimum charges and storage after the free days |
| Retainer | A monthly fee for continuous reordering and quality follow-up | Importers reordering every month | Scope creep in either direction; define the deliverables |
The lowest fee is not the cheapest agent. An agent who earns a margin inside the stall price has an interest in the price going up; one paid a transparent commission or fee has an interest in your order going well.
4. How to Judge an Agent
- A registered company, verifiable on China's National Enterprise Credit Information Publicity System, with an office and a warehouse you can visit. The supplier verification guide explains the check.
- References from Indian buyers who have shipped more than once, not screenshots of chats.
- A written fee schedule and a sample of the order list and packing list they produce.
- Payment discipline: stall payments recorded with receipts, your money held separately from theirs, balances settled only after inspection.
- Someone who says no: an agent who tells you a stall's quality is not worth the price is working for you.
5. When You Can Manage Without
A buyer who speaks Mandarin, has a Chinese bank account or mobile wallet, is buying from a handful of stalls they already know, and has a forwarder with a Yiwu warehouse can do without an agent. So can a buyer visiting only to look, with no intention to order on the trip. For a first trip with a long product list, the saving on fees is small against the cost of one wrong delivery sealed in a container, and the follow-up alone (forty stalls, several weeks, in Chinese) is more than a buyer in India can do from a phone. The Yiwu market guide for Indian importers describes the market itself; this article is about who does the work around it.
6. Working With an Agent: What You Must Still Do
The agent does not decide what you buy, and should not. Bring specifications, target prices and photographs of what sells in India. Decide the quality standard in the market, in writing, with a sample kept by the agent. Approve the packing list before the container is sealed. Check that your products are not under an Indian quality control order; toys, many electrical goods and some household items need BIS certification before they can be imported, and no agent can obtain that for a stall product after the fact. Keep the payment trail so your customs broker can show the value of the goods.
7. How the Travel Zenius Yiwu Service Works
The Yiwu sourcing service combines the trip and the agent: a Hindi/English-speaking guide for the market days, the order list and deposits handled with receipts, the consolidation warehouse, the inspection against the order, the export declaration and the shipment to your port, with the freight quoted at cost. Fees are agreed before the trip as a schedule, and stall quotations are shown to you as the stall gives them.
Frequently Asked Questions
How much does a Yiwu agent charge?
Most charge a commission of a few percent on the order value, a daily fee for market days, a per-cubic-metre fee for consolidation, or a combination. Ask for the schedule in writing and for the stall's own quotation beside the agent's, so the fee is visible and not hidden in the price.
Can I buy in Yiwu without an agent?
Yes, if you can pay stalls through Chinese payment methods, follow up deliveries in Chinese over several weeks and have a forwarder with a Yiwu warehouse. For a first trip with many stalls, the follow-up alone usually justifies an agent.
Does the agent handle the export paperwork?
A good one arranges the export declaration for the consolidated shipment and hands it to the forwarder with one invoice and packing list. Confirm this is in the fee schedule.
What should I not expect an agent to do?
Choose your products, set your quality standard, or obtain Indian certifications such as BIS. Those are the buyer's decisions and obligations.
